Terms & Conditions

These Terms govern your participation in the National Conference on Communication Disorders and Audiological Practices 2026 (“NCCAP 2026”), hosted by the National Institute of Speech and Hearing (“NISH”). By registering, attending or submitting research, you agree to these Terms.

1 Registration

• Registration is confirmed only after full payment is received and a confirmation email has been issued.
• Each registration is personal and non-transferable, except under the conditions in the Cancellation Policy below.
• Student passes require a valid student ID; misrepresentation may lead to forfeiture without refund.
• The organisers reserve the right to refuse registration without assigning reasons.

2 Refund Policy

• Full refund (less 5% processing) for cancellations received in writing by July 20, 2026.
• 50% refund for cancellations between July 21 and August 15, 2026.
• No refunds for cancellations after August 15, 2026.
• Refunds are processed to the original payment method within 7–10 working days.
• Visa rejection refunds will be processed in full (less 5% processing) upon submission of official rejection documents.

3 Cancellation & Substitution

• If you cannot attend, you may transfer your registration to a colleague before August 25, 2026 at no extra cost.
• If NCCAP 2026 is cancelled due to force majeure (pandemic, government order, natural disaster), the conference may move to a virtual format with no refund obligation; pro-rata adjustments may apply.

4 Intellectual Property

• Authors retain copyright of submitted manuscripts.
• By submitting, authors grant NCCAP 2026 a non-exclusive, royalty-free licence to publish accepted papers in the conference proceedings (digital + ISBN print) and indexed repositories.
• Trademarks, logos and branding belong to their respective owners. The NCCAP logo and brand may not be used commercially without written permission.

5 Code of Conduct

NCCAP 2026 is committed to providing a respectful, inclusive and safe environment for all participants regardless of gender, gender identity, sexual orientation, disability, ethnicity, religion or experience level.

• Harassment in any form will not be tolerated and will result in removal from the venue without refund.
• Disagreements must be expressed respectfully and constructively.
• Recording, photographing or sharing other participants without consent is prohibited.
• Violations should be reported to the organising committee at safety.nccap@nish.ac.in.

6 Event Participation

• Delegate badges must be worn at all times within the venue.
• Late entry into sessions may be restricted at the moderator's discretion.
• Mobile phones must be on silent during sessions.
• Workshop and limited-capacity sessions follow a first-come, first-served allocation unless pre-booked.

7 Media & Photography

The conference may be photographed, audio recorded and video recorded for archival, marketing and educational purposes. By attending, you consent to your image and voice being captured. Should you not wish to be photographed, please notify the registration desk on arrival to receive a “no-photo” lanyard.

8 Liability

• NCCAP 2026 and NISH are not liable for personal injury, loss or damage to personal property during the conference.
• Delegates are advised to obtain personal travel and health insurance.
• The organisers' total liability under any claim is limited to the registration fee paid.
• Opinions expressed by speakers are their own and do not necessarily represent the views of NISH or NCCAP 2026.

9 Travel, Visa & Accommodation

Delegates are responsible for their own travel, visa and accommodation arrangements. An invitation letter for visa support is available on request after full registration. The organising committee maintains a list of partner hotels at preferential rates — see the registration confirmation email for details.

10 Force Majeure

The organisers shall not be liable for failure to perform under these Terms due to events beyond reasonable control, including but not limited to acts of God, war, terrorism, pandemic, government action, labour disputes or technology failure. In such cases, alternative arrangements (such as virtual delivery) may be offered.

11 Modifications

The organising committee reserves the right to modify the programme, speakers, venue or format with reasonable notice and without entitling delegates to a refund unless the changes are substantial.

12 Governing Law & Dispute Resolution

These Terms are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts of Thiruvananthapuram, Kerala. Parties shall first attempt amicable resolution through good-faith negotiation.
